Here at St Andrews Kids Club we take your privacy seriously and will only use your personal information to administer your account and to provide the products and services you have requested from us.

Parent Privacy Notice

At St Andrews Kids Club we respect the privacy of all our members.  The personal information that we collect about you and your child/children is used only to safeguard your child and to meet the relevant requirements of childcare legislation.  Our legal basis for processing your information is under your consent and for legitimate interests to fulfil our legal obligations as a childcare provider.

Any information that you provide to us is kept secure whilst your child/children remain registered at the Club, and data that is no longer required* is erased when your child/children leave.

We will use the contact details you give us to contact you via telephone, text, email and/or post, so that we can send you information about the Club and other relevant news. Limited information will also be input on the Club’s financial systems, in order to carry out our financial legal obligations.

We will only share personal information about you/your child with another organisation if we:

·      have a medical/safeguarding concern that relates to you; or

·      are required by government bodies or law enforcement agencies;

·      or with the school your child attends or

·      have obtained your prior permission

Personal information will also be shared with Kids Club HQ to process data on our behalf. Stripe is the system used to process payments. All organisations privacy statements are available online.

You have the right to ask to see the data that we have about yourself, and to ask for any errors to be corrected.  We will respond to all such requests within one month.  You can also ask for the data to be deleted, but note that

·       if we do not have sufficient information about you or your child/children we will be unable to care for your child at our setting

·       we have a statutory duty to retain some types of data for specific periods of time* so we are unable to delete everything immediately.

If you have a complaint about how we kept your information secure, or how we have responded to a request to access, update or erase you data, you can refer us to the Information Commissioner’s Office (ICO)

*We do need to keep certain types of data for a period of time after your child/children leave, but we delete as much personal data as soon as possible, following guidance and recommendations. 

From time to time, we will need to contact you with updates via this HQ online system - either on sessions you have booked or to update you on other clubs (eg. Holiday Clubs) and changes to sessions or prices / offers . Our info will only ever be club related. Email consent is required as a minimum and please note emails will be sent to the registered person on the HQ system. If we need to update you by text we will either text you directly or use the secure Teachers to Parents system. We do not share your details with any third party.
